Operations Supervisor
JOB PURPOSE
The Operations Supervisor fulfills a wide range of duties and responsibilities related to the day-to-day operations of The Friends of the Public Gardens (TPFG). The successful applicant will grow their experience with the summer operation, moving to greater involvement and management when Horticultural Hall closes for the season.

2025 DUTIES AND RESPONSIBILITIES
Concentration on Management of Horticultural Hall in Season
Oversee day to day operations ensuring smooth functioning of visitor experience managing the efficient running of TFPG Visitor’s Desk operations, and Tour operation including:
Schedule and coordinate volunteers to support organizational activities
General administration and organization of the operations, working with Board members, volunteers, and Canada Summer Jobs Heritage Interpreters, as assigned
Implement policies and procedures according to TFPG guidelines for enhanced efficiencies
Ensure compliance with legal and regulatory requirements
Manage and maintain organizational documents and records
Manage Social Media fulfillment and marketing
Collaborate with volunteers and staff to achieve the mission: Preserve, Protect, Promote and Celebrate the Halifax Public Gardens
GROWING TO ACHIEVE GREATER RESPONSIBILITIES
Manage TFPG grant administration and financial reporting as directed, including:
Identifying grant/funding opportunities, application process, and reporting requirements
Assist Treasurer with annual or monthly reports reporting duties (CRA/CSJ/HST)
Financial duties when required
Annual Report for the Annual General Meeting
Assist Communications with Outreach
Ensure Social Media is operational all year, managed and monitored. Train
Heritage Interpreters for this role June to August
Monthly newsletter - suggestions, ideas, gathering information, article ideas for the monthly newsletter
Fundraising and membership maintenance
Other duties as they arise
QUALIFICATIONS
A degree in business administration, non-profit management or related field experience
Strong organizational and leadership skills
Knowledge in accounting software (such as QuickBooks)
Knowledge of accounting for non-profits
Proficient in Microsoft Office
Experience with Google Workspace
Social media expertise
Familiarity with non-profit operations, including fundraising and grant administration management. Experience with grant writing and administration

Exceptional organizational, time management, and project management skills to plan, prioritize, coordinate activities
Strong attention to detail
Proactive and energetic approach to responsibilities
Good command of the English language
Other language fluency an asset
ANTICIPATED TIME COMMITMENT
25-30 hours per week with some flexibility
SALARY
Calculated and based on experience and living wage ($26 to $30/hr).
